Scope and Prerequisites

Jobable's Contracts module is intended for Contracts which cover specified Equipment items at a single site. The equipment is visited once or more over the term of the contract and a checklist completed for each equipment item on each visit.

Therefore, you will need to setup at least one checklist and define at least one equipment category with the checklist attached before setting up a contract.

The following video demonstrates how to create a contract, attach equipment, send an offer to your customer, mark the contract offer as accepted. Marking the contract offer as accepted will raise the required number of jobs with the equipment checklists attached.

Raising a new Contract

  1. Find your Customer and go their Customer page

  2. Click the Contracts tab

  3. Click the blue '+ New' button

  4. Click the green 'Next' button on the new Contract screen.

Adding Equipment to a Contract

  1. Scroll down to the Equipment box

  2. Click '+ Add Item'

  3. Select the desired Equipment from the drop down box

Equipment can also be deleted using the trash can icon.

Creating and Sending a Contract Offer

  1. Scroll down to the Contract Offers box

  2. Click the blue '+ Add Offer' button

  3. Complete the form with the desired start date, contract term, visits, and value

  4. Save the contract offer.

  5. Use the PDF button to view/download a PDF contract offer, and the envelope button to email this to your customer.

Contract offers can be deleted using the trash can icon.

Accepting a Contract Offer

  1. Scroll down to the Contract Offers box

  2. Click the green 'Accept' button next to the appropriate contract offer.

  3. Select the signatory and check all other fields.

  4. Click 'Accept'

Jobable will then create the required number of Jobs, attach the correct checklists with the equipment items attached, and assign to a tray to suit your workflow (for example, for invoicing or for booking).

The job tray can be defined in Settings > System Configuration > Automation > Contract Job Tray

The job department can be defined in Settings > System Configuration > Automation > Contract Job Dept
