Raising a new Job
You can raise a new job from the "+ New" button under any customer's jobs tab. You can also raise a job from the red spanner icon next to any site or piece of equipment in a list or search results. You can then input details of the requested work and the customer's order number.
The 'Job Notes' box can be used to record any information that you would prefer your customer not to see, as this will not be displayed on job reports but will be visible to your field engineer in Remote.
Setting a Site
Ensure the correct site address is set for this job. Click "+ Add Site" to add the site if none is added. If the site you need is not on the list, go to the customer record to add a new site.
Adding a Contact
Add an existing contact to the job using the "+ Add Contact" button. If the contact you want is not in the list, you can add a new contact with the "+ Add new" button. A contact is required to schedule a visit and to load a job in Remote.
Equipment
If you track customer's Equipment, add it using the "+ Add Equipment" button on the Equipment pane. If the piece of Equipment does not yet exist, you can add this from the Customer record.
đ Best practice: to preserve Equipment history, consider raising one job per piece of equipment, rather than adding multiple unrelated equipment items to a job.
Engineer Scheduling
The easiest way to schedule an engineer visit is to click "Smart Schedule". Jobable will present the 'least travel' option and the 'fastest response' option for you to select from.
Alternatively, to schedule an engineer appointment manually, click "+ Add Appointment". Here you can select your operative and set the date and time of the visit. If this visit has a fixed price, you can input that here. If a quotation is attached to the job and has not been used on another appointment, you can assign the quotation value to this appointment.
Repeat this process to add more appointments to the job. For example, to book visits for the same job on multiple days, or to book for multiple engineers to attend.

Completed Visits
Completed Visits represent an actual visit that has been completed by a field engineer. Usually, these visits will be input by the engineer themselves through Remote, and will be visible in Admin once their tablet has synchronised. In the event that you need to add a visit manually, you can do this by clicking "+ Add Completed Visit" and completing the visit details.
A note on charges for visits created by engineers in Remote: if fixed or quoted was applied to the appointment at the time of scheduling, the engineer visit will reflect this in the "Job Cost" box. If the job did not have fixed or quoted pricing added at the time of the visit, then the call-out/travel, labour charges and parts prices are calculated by Remote, based on the charges defined in Job Department (plus any stock used), at the time the visit is completed in Remote.
Stock
You can add stock to the job with the "+ Add Stock" button, entering your stock code in the Stock Ref box and selecting your Stock line from the list. Alternatively, you can add parts not from your stock database by manually entering the details. These parts can be added to a Purchase Order using the "+ Add To Order" button.
Note: the stock/parts value is not included in the job calculation directly. Once the stock has been used by an engineer on a visit, the value of the stock is included in the visit calculation.
Payments
Pre-payments and payment links can be added to the job using the "+ Add Payment" button. Payments taken by the engineer on-site will also be recorded here.
Connect Jobable to Stripe to start taking card payments online or on site with QR codes.
Communications
You can add communication notes to a job using "+ Add Communication".
Documents
Documents can be added to a job using the appropriate button depending on the type of document you wish to upload. Linked Purchase Orders, Sales Orders and Invoices will also be listed here.
Job Action Date
You may see action dates when looking at a Tray. You can show an 'Overdue' flag and/or an 'Urgent' flag by selecting the number of days over the action date at which the flag should be displayed. The settings are found in Settings > System Configuration > Customisation > Overdue Flag Days / Urgent Flag Days.
To change the Job Action Date, open the Job in Edit mode, click Move Action Date, complete the form and click Submit.
Job Deletion
Jobs can be deleted by clicking the pencil icon to edit, and then clicking the trash can icon to delete.
â Job deletion is permanent and cannot be undone. Job deletion will delete associated records of payments received, visits scheduled or completed and parts used. Consider moving the job to a 'Cancelled' (or similar) tray instead.
